Terms and Conditions for Booking a Safari with SafariPin Tours & Travel

Please read the following Terms and Conditions carefully before making a booking with SafariPin Tours & Travel. By confirming your booking, you agree to the terms outlined here. In these terms, “Agent” refers to SafariPin Tours & Travel, “Party” refers to either the client or SafariPin, and “Third Party” refers to service providers such as airlines, hotels, lodges, transport services, and Kenya Wildlife Services.

Reservations and Payments

Booking Process

  • Reservations should be made at least 30 days prior to the intended travel date.

Late Bookings

  • For reservations made within 30 days of departure, full payment is required at the time of booking.

Deposit Policy

  • A non-refundable deposit of 30% is necessary to confirm your booking. The remaining balance must be paid no later than 30 days before the safari begins.

Payment Methods

  • Payments can be made via bank transfer, credit or debit card (subject to a 3.5% merchant fee), or mobile money for local clients. Please note that any transaction fees will be borne by the client. We do not accept cheques.

Cancellation Policy

Refund Guidelines

  • More than 90 days before departure: Full refund of payments made, minus the non-refundable deposit and any applicable bank fees.
  • 90 to 60 days before departure: 50% of the total safari cost is refundable.
  • Less than 60 days before departure: No refunds will be issued.
  • No Show: A 100% cancellation fee applies.

Please note that some accommodations or third-party services may have stricter cancellation policies. In such cases, their terms will supersede ours.

Alterations to Bookings

Client-Initiated Changes

  • Any changes made after confirmation may incur additional charges depending on availability and cost differences. SafariPin will make every effort to accommodate such changes but cannot guarantee availability.
  • Please note that name changes on flight tickets are not permitted by airlines.

SafariPin-Initiated Changes

  • While we strive to deliver your safari as planned, changes may be necessary due to unforeseen circumstances such as weather, political unrest, or wildlife migrations. In such cases, SafariPin will provide alternative services of comparable quality.

Travel Insurance

All clients are required to have comprehensive travel insurance that covers medical emergencies, trip cancellations, lost baggage, and other risks. SafariPin Tours & Travel is not responsible for costs associated with travel disruptions, medical emergencies, or other unforeseen events.

Liability

SafariPin Tours & Travel acts as an agent for third-party providers including accommodations, transport, and other services. We cannot accept liability for any losses, damages, injuries, or delays caused by these third parties. Additionally, SafariPin is not liable for personal injury, death, or damage resulting from activities beyond our control, such as wildlife encounters or extreme sports.

Visas and Travel Documents

Clients are responsible for obtaining the necessary visas and ensuring their passports are valid for at least six months beyond the travel date. While SafariPin can offer guidance, the ultimate responsibility lies with the traveler.

Health Requirements

Vaccinations and Medications

  • Clients should consult their healthcare providers for necessary vaccinations or preventive medications before traveling to Kenya, Tanzania, Uganda, or any other safari destination.

Special Requests

SafariPin will make every effort to accommodate special requests (e.g., dietary needs, room preferences), but these cannot be guaranteed and are subject to availability and third-party provider policies.

Child Policy

Children are welcome on safari, but certain age restrictions may apply at specific lodges, camps, or for activities such as game drives or walking safaris. Please check with us if you are traveling with children under 12 years of age.

Wildlife and Safety

For your safety, it is imperative that clients follow the instructions of tour guides and Kenya Wildlife Service personnel. Safaris take place in natural environments, and wildlife encounters are inherently unpredictable and potentially dangerous. SafariPin cannot be held liable for incidents arising from non-compliance with safety guidelines.

Force Majeure

SafariPin Tours & Travel is not responsible for losses or additional costs incurred due to circumstances beyond our control, including but not limited to natural disasters, government restrictions, political unrest, or other acts of nature.

Governing Law

These Terms and Conditions are governed by the laws of Kenya. Any disputes arising will be resolved within Kenyan courts.

Data Protection

At SafariPin Tours & Travel, we value your privacy and are committed to safeguarding your personal information. By making a booking with us, you consent to the collection, use, and protection of your personal data in accordance with the following:

1. Personal Data Collection

SafariPin collects personal information such as your name, contact details, passport information, and any other necessary details required to facilitate your booking. This data is collected directly from you during the booking process and will be used solely for the purpose of managing your safari and travel arrangements.

Your personal information may be shared with third-party service providers, including airlines, hotels, lodges, and transport companies, to facilitate your travel experience. We will only share the information necessary to ensure the proper delivery of services. SafariPin does not sell or rent your personal data to any third party for marketing purposes.
